1. Reservation and Payment:

• Booking Confirmation: A deposit of 20% of the total tour cost is required to confirm your booking. The remaining balance must be paid 3 days prior to the tour departure date.
• Payment Methods: We accept payments via bank transfer, credit/debit cards and PesaPal.
• Late Payments: Failure to make the final payment by the due date may result in the cancellation of your booking.

2. Cancellation Policy:

• Cancellation by Client:
  • Cancellations made 7 days prior to the tour departure date will receive a 20% refund of the deposit.
  • Cancellations made within 24 hrs of the tour departure date will incur a cancellation fee of 80% of the total tour cost.
• Cancellation by Company:
  • In the unlikely event that Pandu Tours and Safaris cancels a tour, a full refund will be provided, or you may choose to transfer the booking to another tour date.

3. Changes to Booking:

• Amendments by Client: Any changes to your booking (e.g., dates, accommodation) must be requested in writing. We will do our best to accommodate changes, but they may be subject to availability and additional costs.
• Amendments by Company: We reserve the right to make changes to the tour itinerary due to unforeseen circumstances (e.g., weather, safety concerns). Any significant changes will be communicated to you as soon as possible.

4. Travel Insurance:

• Mandatory Insurance: All clients are required to have comprehensive travel insurance that covers medical expenses, trip cancellations, personal liability, and loss of personal belongings.
• Proof of Insurance: You may be asked to provide proof of insurance before the start of the tour.

5. Health and Safety:

• Fitness Requirements: Clients should ensure they are physically fit for the tour they have booked. Some tours may involve strenuous activities, and it is the client’s responsibility to assess their own fitness levels.
• Medical Conditions: Please inform us of any pre-existing medical conditions or special requirements before booking so we can accommodate your needs.

6. Liability:

• Responsibility: Pandu Tours and Safaris will not be liable for any injury, loss, or damage to personal property that occurs during the tour. Clients participate at their own risk.
• Third-Party Services: We are not responsible for the services provided by third-party suppliers (e.g., airlines, hotels). Any issues with third-party services must be addressed directly with the supplier.

7. Visas and Travel Documents:

• Client Responsibility: It is the client’s responsibility to ensure that they have valid passports, visas, and any other required travel documents. Pandu Tours and Safaris is not responsible for any issues related to travel documentation.

8. Code of Conduct:

• Respect for Local Culture: Clients are expected to respect local customs, traditions, and laws during the tour.
• Behavior: Any behavior that is deemed disruptive, dangerous, or disrespectful may result in the termination of your tour without a refund.

9. Force Majeure:

• Unforeseen Events: Pandu Tours and Safaris is not liable for any delays, cancellations, or changes to the tour caused by events beyond our control, such as natural disasters, political instability, or other emergencies.

10. Complaints and Disputes:

• Complaints: If you have any issues during your tour, please notify your tour guide or contact our office immediately so we can address the problem.
• Disputes: Any disputes arising from the tour will be resolved amicably through negotiation. If a resolution cannot be reached, the dispute will be settled under the Tanzania law.

11. Photography and Marketing:

• Photos and Videos: Pandu Tours and Safaris may use photos or videos taken during your tour for marketing purposes. If you do not wish to appear in our promotional materials, please inform us before the tour begins.

12. Acceptance of Terms:

• Agreement: By making a booking with Pandu Tours and Safaris, you acknowledge that you have read, understood, and agree to these booking terms and conditions.
